During the stay abroad

As soon as they arrive at their Host University, the students must first go to the Erasmus office in charge for these procedures in order to have their certificate of stay signed. This document is essential since, by certifying the actual duration of the stay, it also allows to determine the amount of the Erasmus grant.

Within 10 days of the student’s arrival, the Certificate of Stay must be sent to the International Relations Office of the University of Milan by email to mobility.out@unimi.it

During their stay abroad, the students can change the Learning Agreement as well as extend or reduce the duration of the mobility.


Changes to the Learning Agreement

The study programme described in the Learning Agreement may be changed in exceptional cases and within  maximum two months from the student’s arrival at the Host University and, in any case, no more than one month from the start of the lessons or training activities to be undertaken.

Students who will be staying abroad for the entire academic year can make further changes to the Learning Agreement no later than one month after the start of the lessons or training activities to be undertaken during the second semester. In this case the Learning Agreement must include the activities related to the first semester as well as those related to the second semester.

Once the student has identified the new courses he/she wishes to attend, he/she must requests permission to make the relevant changes to the Learning Agreement by writing an email to the Erasmus coordinator at the Home University. All these changes have to be agreed by the three parties (Home and Host Institution Erasmus coordinators, the student) within a two weeks period after the request.
The changes to the Learning Agreement must be filled out online as well: the student can access  the online procedure once again and fill in “Version no. 2”.  The system will issue a new printed copy. The student will be responsible for getting the changes to the Learning Agreement signed by the Erasmus Coordinator at the Home University and by the Erasmus Coordinator at the Host University. The document, duly signed, must be submitted to the International Relations Office. 
Should it be necessary to fill out two Learning Agreements– one for the Home Institution and one for the Host Institution – any changes must always be included in both documents.



Extension or reduction of the period of stay abroad

Requests to extend the period of stay abroad must be authorized by the Erasmus Coordinators at the Home Institution and the Host Institution at the latest one month before the end of the stay abroad.  Authorization granted by e-mail will be considered sufficient.

The authorization must also be notified to the International Relations Office so that the amount of the Erasmus grant can be amended if necessary. The amount will be reduced for a shorter period of stay abroad. If the period spent abroad is extended, the amount of the grant may be increased only upon availability of funds.
Changes to the period of stay abroad also have an impact on the minimum number of credits set out in the Learning Agreement: 60 credits (for one year), 30 credits (for six months) and 20 credits (for three months).

Before returning to Italy, the student must request from the Host Institution and bring two documents which are essential for their stay abroad to be considered valid:

  • The Certificate of Stay – already requested upon arrival –original version and duly filled out (date of arrival and date of departure) 
  • The Transcript of Records, academic record of the exams taken and of the other educational activities successfully completed, with relative credits and grades. This document is directly issued by the Host Institution. If this document is not available at the time of departure, the students must ask the Host Institution to send it to their home address or to the International Relations Office at Milan University. The student will be notified via e-mail to come and collect the transcript of record as soon as the Office receives the document from the partner university.
