Managing and ending internships

All the information you need on how to manage internships, from the most common situations to special cases, final assessment and ending the internship.

How to manage the most common situations

The organisation/company must enter any requests to cancel an internship on the placement services portal by accessing the “details” of the internship training programme and clicking on Chiusura>annullamento (Ending an internship>cancellation).

Such requests relate only to properly activated internships which never started (the cancellation date entered in the request must match the planned date for the start of the activities). 

The organisation/company must enter any requests to suspend an internship on the placement services portal by accessing the “details” of the internship training programme at least one week before the start of the suspension. 
The traineeships office will approve or reject the request, at which point the organisation/company and the intern will receive an email notifying them of the decision. 

Minimum suspension periods of 15 days can only be requested in the event of company closure and suspension of the activities by the host institution. Minimum suspension periods of 30 days can only be requested in the event of illness or accident befalling the intern, or pregnancy. 

The period of suspension may be made up by requesting an extension. 

The organisation/company must enter any requests to extend an internship on the placement services portal by accessing the “details” of the internship training programme at least 1 week before the extension is due to commence. 

The traineeships office will approve or reject the request, at which point the organisation/company and the intern will receive an email notifying them of the decision. 

The maximum duration of curricular and extracurricular internships is 12 calendar months, excluding any suspensions previously entered and approved.  

The 12-month internship period can only be extended for curricular internships, for the purpose of completing the activities described in the training programme,  at the request of the academic tutor, by means of an email to be sent to the director of COSP at stage@unimi.it 

All the activities set out in the training programme can be carried out in another location, under the supervision of the company tutor and/or his/her deputy.

Where such transfers are not stated in the programme, an email must be sent to stage@unimi.it indicating the transfer period, company tutor, and the reasons for the transfer.

The University internship office does not need to be notified of any absences (daily and/or hourly) of the intern. Such absences must be agreed between the host institution and the intern as provided for in the training programme and be based on the activities that need to be carried out, as well as the aims to be achieved. 

Any change in the number of hours per week envisaged in the training programme must be notified by sending an email to stage@unimi.it.  

The section "Suspension" sets out the process for notifying scheduled absences according to the relevant regulations.

In the event of illness, the intern is not required to submit a medical certificate to the sending institution or the host institution. 

There is no need to do anything if the internship ends on the date specified in the training programme. 

In order to terminate the internship early

  • the organisation/company must enter the early termination date on the placement services portal, by accessing the internship training programme details page and clicking on the relevant button
  • the organisation/company must upload on the details page the internship early termination form, completed and signed by the student and tutor
  • the traineeship office will approve or reject the request within 2 working days 
  • in the event of extracurricular traineeships, the organisation/company is obliged to upload the COB/Unilav communication on the portal. 

At the end of the procedure, the organisation/company will receive email notification and can print the internship early termination certificate provided for the company on the details page, and for the student on the Almago page (accessed through Unimia) under the section “Your Internships” (history).
 

Any accidents or injuries which occur at the location where the internship is taking place must be notified to the University’s Workplace Safety and Prevention Office: 

On the final day of the internship (this being the date envisaged in the training programme or in the approved request for extension), the intern and the tutor from the host institution will receive an email at the address entered in the training programme, containing a link to the end of internship questionnaire/report/assessment.

The form must be filled in online and, once completed, is sent automatically to the Traineeships Office. 

The intern can download the completed assessments (both their own and the assessment drawn up by the company tutor) from their web page Almago > gestisci i tuoi tirocini> storico (Almago>manage your internships>history), which they can access through UNIMIA (Work and Internships page).

Some degree programmes may have other, specific ways of certifying the activities performed. For further information, contact the relevant academic services offices.
 

At the end of the activities, and after the final assessments have been drawn up, interns can download a certificate attesting to having completed the internship by accessing the web page Almago > gestisci i tuoi tirocini> storico (Almago>manage your internships>history), from their personal Unimia page.

A certificate attesting to the skills acquired may be requested for extracurricular traineeships only, by returning the attendance record to COSP. To submit the request, contact the university tutor by calling the Traineeships Office during telephone opening hours.

Extracurricular traineeships only: at the end of the activities, the host institution can compile an Individual Dossier on the internship containing details of the activities carried out, additional information on the training pathway, the achievement of the training objectives and the methods of assessment adopted by the host institution.

The attendance register will be completed by the University’s Traineeships Office and made available to the host institution and to the intern on the placement services portal, on the “details” page (for the host institutions) and in the history (Almago) for the interns.
