Scholarship increase for stays abroad

Highlighted: in view of the University's closure for the August summer holidays, attendance certificates for the month of July must be submitted by 22 July, in order to allow payment to be processed in August. Attendance records submitted after this date will be processed and paid in the following month.

Phd scholarship recipients that go abroad for study or research purposes can apply for a 50% increase of the scholarship for a total period not exceeding 12 months (18 months for PhD students in joint supervision with foreign universities).

How to apply for a scholarship increase

  1. Seek the doctoral course coordinator's authorization
  2. Complete and sign the PhD abroad scholarship increase application form and submit it with the coordinator's authorization to the PhD Programme Office in one of the following ways:
    • Online via InformaStudenti > Postgraduate > Doctoral research (PhD)
    • in person, by appointment, to the Phd Desk at the Student Registrar’s, via S. Sofia 9/1

Payment

Attendance certificates must be sent to Salary, Benefits and Independent Contractor Division -Specialist Training Contracts, PhD Payments, and Missions Office by the 3th day of the month with InformaStudenti > Postgraduate > Doctoral scholarships payment, for the scholarship increase to be paid.

Note: the files containing the certificates must be named in the following format: LASTNAME_FIRSTNAME_MONTH.

Reimbursement of expenses for meals, travel, and accommodation

In addition to the increase in the scholarship provided for research periods carried out abroad, it is still possible to recognize travel expenses in the case of research, training, or scientific activities that are previously authorized and strictly related to the doctoral program.

In such cases, PhD students may benefit from reimbursement of the expenses incurred. Reimbursable costs include, in particular, travel, meals, accommodation, and event registration fees.

Authorization and reimbursement procedures are managed by the Administrative Office of the Department to which the doctoral program belongs, in compliance with the applicable regulations and provisions.

In particular, access to reimbursements is subject to:

  • prior authorization of the activity and the related expense by the competent structure and the person responsible for the funds
  • availability of financial resources within the individual research budget or other funds allocated to the doctoral student’s activities
  • compliance with the provisions set out in the University Regulations concerning missions, expense reimbursements, and insurance coverage.

It should therefore be noted that the increase in the scholarship does not automatically entail reimbursement of any expenses incurred abroad.

Insurance coverage:

  • applies both in Italy and abroad
  • is valid not only on University premises, but also in any other location outside the University (other universities, institutions, companies, laboratories, hospitals, etc.), provided that the PhD student is present in those locations to carry out study, research, traineeship or experimental activities, including fieldwork, as insurance coverage is strictly linked to the performance of educational activities and is limited to the places and times in which such activities are carried out.

Insurance coverage is also guaranteed in cases where the PhD student does not incur expenses to be claimed for reimbursement, without prejudice to the requirement that activities abroad must be formally authorized and clearly linked to the doctoral training programme.

In the event of a stay abroad, the University also recommends taking out additional individual insurance policies to cover specific risks related to the destination country, such as, by way of example: personal property protection, legal protection, reimbursement of medical expenses and healthcare assistance, crisis management.
